Build a production-ready AI foundation across the LWP team. Every team member actively using AI, compliance cleared, workflows mapped, and a roadmap for Phase 2 automation — all in 12 weeks.

Weeks 1-2
Compliance clearance and tool deployment
  • Kick off Polaris compliance review on Day 1 covering data handling, retention, and SEC/LPL guidance for AI in RIA firms
  • Procure and deploy Claude Team licenses across all staff
  • Begin discovery interviews with each team member to map workflows, pain points, and automation opportunities
Exit Criteria

Compliance review underway, every team member logged in and using Claude, discovery interviews started.

Training
Weeks 3-8
Build real AI fluency across the team
  • Complete discovery interviews and compile workflow map
  • Structured lunch-and-learn series progressing from conversation basics through model selection, tools, and role-specific prompt templates
  • Hands-on setup time in every session with real work tasks
  • 1:1 coaching between sessions to keep adoption on track
  • Install personalized skills and custom instructions based on each role
Exit Criteria

All team members independently using AI for real work tasks, initial prompt library built for common workflows.

Measurement + Workflow Mapping
Weeks 9-12
Map workflows, quantify impact, and plan Phase 2
  • Build comprehensive workflow map from discovery findings and observed usage
  • Run AI usage audit to assess adoption patterns and optimization opportunities
  • Finalize meeting tool evaluation (Wealthbox native vs. Jump)
  • Compile Phase 1 report: hours recovered, adoption rates, compliance status
  • Deliver prioritized agent roadmap for Phase 2
Exit Criteria

Workflow map complete, measurable time savings documented, Phase 2 agent roadmap delivered.
